Trips & dispatch
Trips and dispatch, with the profit of every trip as you go
Plan trips on a dispatch board, record kilometres, loads, advances and expenses, and see what each trip actually earned before the driver is back.
Definition
Trip profit is what a single trip earned after its own costs: freight and extra charges billed to the customer, minus tolls, loading, food and other trip expenses, minus diesel linked to the trip, minus the driver’s batta.
How does the dispatch board work?
The dispatch board shows every trip as a card in four columns: Planned, Started, Completed and Billed. A side panel lists vehicles and drivers that are free right now, so you can assign the next trip without phoning around. Moving a card updates the trip’s status everywhere.
- Filter by date, vehicle, driver, customer or status.
- A completed trip can be ticked on an invoice; billed trips move to the last column.
- Each branch keeps its own trip number series.
What goes into a trip entry?
A trip records the date and times, vehicle, driver and helper, customer, route with via points, start and end kilometres, load type and quantity, LR number and rate. Freight is worked out from the rate type. Expense rows, driver advance, batta and POD photo or signature sit on the same screen.
- Rate types: fixed, per km, per tonne, per hour, per day.
- Extra charges for loading, waiting and toll recovery.
- Driver advance goes straight to the driver’s ledger.
- Customer advance received on the trip is recorded too.
How is trip profit calculated?
FleetLite calculates trip profit live as you type: freight plus extra charges, minus trip expenses such as tolls and loading, minus diesel entries linked to the trip, minus batta. The same figure feeds the trip P&L report, the vehicle P&L and the owner dashboard, so every screen agrees.
Only completed and billed trips count as income in reports. Planned and running trips have not earned anything yet, and cancelled trips never will.

FAQ
Frequently asked questions
Can drivers update trips themselves?
Yes. Drivers start and end trips in the Android driver app with an odometer photo, or by sending “start” or “end” with a photo on WhatsApp on the Pro and Premium plans. The office sees the change straight away.
Does it work for buses and cars, not only lorries?
Yes. Rate types per km, per hour and per day cover tourist cars, vans and buses. Premium adds booking tariffs for travels and rental fleets.
Can I bill several trips on one invoice?
Yes. On Pro and Premium you pick a customer, tick the completed trips and the invoice lines are filled in from those trips.
