Alerts & documents (VAHAN)

Alerts and documents: never miss an FC, permit or insurance renewal again

A lapsed permit or insurance can stop a vehicle on the road or leave you uncovered after an accident. Keep every document with its expiry date and a scan, and get reminded in time, by colour of urgency, on the app and WhatsApp.

Definition

VAHAN check is a lookup of a vehicle’s registration record (owner, make, model, chassis and engine number, fuel, and insurance, fitness, PUC and permit validity) from the national VAHAN database, through an authorised data provider.

Which document expiries can the app track?

For vehicles: RC, insurance, FC (fitness certificate), state permit, national permit, road tax and PUC, each with number, issue date, expiry date and a scanned file. For drivers: the driving licence and other ID documents. The document expiry report lists everything expiring in a period across the fleet.

Document types are set per country, so fleets outside India see their own local document list.

How are alerts sent?

Alert rules decide when and to whom: days or kilometres before the due point, to the owner, manager or driver, on the app, WhatsApp, SMS or email. The alert centre groups everything by urgency, and on Pro and Premium the owner also gets a WhatsApp daily summary at the time set.

  • Mark an alert done, snooze it, or open the record behind it.
  • Renewing insurance through an accepted Smart Capture suggestion updates the expiry date.
  • Overdue payments and EMI due dates come from invoices and vehicle loans.

What does the VAHAN add-on do?

VAHAN checks fetch a vehicle’s registration record by number and pre-fill the vehicle form and its insurance, fitness, PUC and permit expiries. Driving licences can be verified with the driver’s consent, recorded under the DPDP Act. Vehicles and licences can be re-checked monthly, and e-challans looked up per vehicle.

VAHAN checks run through an authorised data provider and are billed per check (₹10 at launch; e-challan lookups ₹5). This is an integration that is switched on per company. Drivers can also share their licence from DigiLocker with consent.

FAQ

Frequently asked questions

Do I need the VAHAN add-on to get expiry alerts?

No. Type the expiry dates in (or scan the documents) and alerts work on every plan. VAHAN only saves typing and checks the official record.

Can e-challan fines be recovered from the driver?

Yes. A challan can be marked as owed by the driver, which posts it to the driver ledger for the next settlement, or as paid back on the spot.

Who receives the alerts?

You choose per alert rule: owner, manager or driver, on the app, WhatsApp, SMS or email.
