P&L reports: which vehicle, driver, route and customer make money

The question owners cannot answer from a notebook is the one that matters most: which vehicles, drivers, routes and customers actually make money. The reports answer it from the entries you already make.

Definition

Vehicle P&L is one vehicle’s income (freight and extras from completed and billed trips) minus all its costs for a period: fuel, trip expenses, batta, repairs, tyres, tolls, loan EMI and fixed monthly costs such as insurance, road tax, permit and parking.

How is profit per vehicle calculated?

Vehicle P&L takes the freight and extras of the vehicle’s completed and billed trips, then subtracts fuel, trip expenses, batta, maintenance, tyres and tolls, plus the loan EMI and fixed monthly costs you set on the vehicle. It also shows cost per km and earning per km, and a waterfall chart from income to net profit.

  • Fixed monthly costs: insurance, tax, permit, parking.
  • Loan EMI from the vehicle’s finance tab.
  • Planned and cancelled trips never count as income.

Which reports are in each plan?

Basic has trip P&L, a vehicle P&L summary, fuel and mileage, expense summary and document expiry. Pro adds driver, customer, route and fleet monthly P&L, break-even per vehicle, utilisation, outstanding ageing, tyre cost and FASTag reports. Premium adds the GST summary and the AI cost-leak report.

What does the owner dashboard show?

The dashboard shows today’s income, expense and profit, month-to-date profit, fleet status (on trip, available, workshop, idle), the top and bottom five vehicles by profit, six months of income against expense, alerts, receivables, recent trips and how many Smart Capture suggestions are waiting.

Quick actions add a trip, expense, fuel entry or vehicle. A branch filter and date range sit on top. Data-entry users can be hidden from profit figures.
